AboutYourRole
We are currently looking for team players to join our dynamic and highly motivating team in Thessaloniki.
As an Events Planning and Facilities Management Assistant you will play a key role in organizing the logistics for a plethora of different events. The events will range both in scale and nature, from small internal meetings and trainings to large-scale events for external contacts and clients. You will also be responsible for overseeing and coordinating the maintenance of the Deloitte Competence Center facilities. Finally, the position serves as a backup receptionist, providing administrative support when the full-time receptionists are on leave.
All three roles require strong communication skills, attention to detail, organizational skills and the ability to prioritize and work on very different projects simultaneously. Tasks for the different roles will include but are not limited to the following:
Events Assistant
- Assisting the events team with a high number of events, ranging from small meetings to award ceremonies
- Accompanying event manager to both internal and external events
- Supporting the events manager with logistical and administrative support including soliciting offers, making bookings etc.
- Maintaining records of all bookings e.g. venue and catering and arranging payments where necessary
- Assisting with creative decisions
- Attending meetings to act as a second point of contact
- Ad-hoc duties at events including, but not limited to, guest list management, showing guests to tables and taking coats
- Helping set up and dismantle events efficiently through to completion
- Arranging transfer and ensuring all branded items for events arrive on time
Facilities Assistant
- Coordinating and supervising the maintenance and smooth operation of DACC’s facilities, including the surrounding spaces, in Thessaloniki. Conduct regular and need-base checks of the conditions, arrange replacements, repairs, transfers of equipment or furniture
- Supervising the cleaning teams
- Overseeing ongoing maintenance contracts and arrange new, in relation to basic utilities such as water, heating, plumbing and elevators
- Arrange disinfections and disinfestations as needed
Backup Receptionist
- Handling and distributing central calls
- Welcoming and accommodating visitors, clients and business partners
- Handling written correspondences, reports, e-mail and calendar management
- Managing monthly invoices
- Ordering and controlling office supplies
- Filing
- Making travel arrangements and hotel bookings according to business needs

Qualifications
- Bachelor’s degree in Communication, Public Relations, Marketing, Business or Hospitality. Other social sciences degrees will be considered if combined with relevant experience
- At least two years of experience in event planning, administrative support or office management
- Excellent English, both written and spoken
- Good command of MS Office applications (Word, Excel, PowerPoint, Outlook, etc.)
