ERATOSTHENES Centre of Excellence (www.eratosthenes.org.cy) of Cyprus University of Technology (www.cut.ac.cy) invites applications for one (1) position of Executive Assistant to the Managing Director of the ERATOSTHENES Centre of Excellence. The position is open either on a full-time (100%) or part-time employment basis. The successful candidate will provide high‑level administrative, organisational, and communication support to the Managing Director of the Centre to to ensure the smooth and efficient operation of the ERATOSTHENES Centre of Excellence.
ERATOSTHENES CoE is an autonomous Centre of Excellence with Cyprus University of Technology as its sole stakeholder, specialising in earth observation, space technology and geospatial analysis. Cyprus University of Technology has more than 15-years experience in earth observations and geospatial analysis. Through the “EXCELSIOR” H2020 Teaming Project (https://excelsior2020.eu/), ERATOSTHENES CoE aspires to become a Digital Innovation Hub for Earth Observation and Geospatial Information by offering knowledge, responsible research, open innovation and application services capable of sustaining Cyprus’ development. ERATOSTHENES CoE aspires to actively contribute to the European Research Area (ERA) priorities in Atmosphere and Climate, Resilient Societies and Big Earth Data Analytics, as well as to become the reference Earth Observation/Geoinformation Centre for research and innovation in the Eastern Mediterranean, Middle East and North Africa (EMMENA) region.
A core activity of ERATOSTHENES Centre of Excellence is to conduct high caliber, state-of-the-art research, both basic and applied. A central task is to acquire research funding for the Centre, to provide facilities to the researchers, and to support them to acquire funding for their research independently and via international and local collaborations. Collaborations with industrial partners are particularly encouraged and facilitated.
Appropriate measures of success will be collaboratively determined based on the Centre’s strategic growth plan and sustainability targets. These will be revised periodically by the Executive Committee and the Board of Directors.
Description of the Position
The position concerns an Executive Assistant to the Managing Director that will provide high-level, confidential support (at administrative, organisational, and strategic level) to the Managing Director.
The Executive Assistant will act as a strategic partner, managing priorities, coordinating key initiatives, and ensuring smooth communication between the Managing Director and employees of the Centre as well as external stakeholders. The Executive Assistant will oversee complex scheduling, prepare executive documentation, and support/coordinate senior leadership activities. This position requires exceptional organisational skills, discretion, and the ability to operate in a dynamic research‑driven environment. The position will be critical in enhancing the Managing Director’s efficiency and supporting the Centre’s strategic objectives.
Key Duties & Responsibilities
A. Executive & Administrative Support
- Provide high-level, confidential administrative support to the Managing Director (MD).
- Manage and maintain the MD’s complex calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare briefing documents, reports, presentations, and correspondence on behalf of the MD.
- Screen and prioritise incoming communications (emails, calls, letters), perform front-desk/reception duties (including greeting visitors and handling general enquiries), and respond where appropriate (draft, review, and edit internal and external communications).
B. Strategic & Operational Coordination
- Act as a liaison between the MD and senior leadership team, departments, and external stakeholders.
- Follow up on action points from meetings of the Executive Committee and Board of Directors.
- Assist in preparing senior management reports and documents.
C. Meeting & Board of Directors Support
- Contribute to the organisation of meetings of the Executive Committee, as well as of the Board of Directors.
- Prepare agendas, compile meeting packs, and take accurate minutes.
- Monitor and track decisions and action items from meetings.
- Ensure proper documentation and record-keeping for governance purposes.
D. Travel & Event Management
- Arrange domestic and international travel, including visas, accommodation, and itineraries.
- Prepare detailed travel briefs.
E. Office & Process Management
- Maintain administrative systems (digital and physical) and processes to enhance efficiency.
F. Compliance & Governance Support
- Ensure compliance with internal policies and governance requirements.
- Maintain corporate records and assist with regulatory filings where necessary.
Requirements (must have):
- Bachelor’s degree in Business Administration, Management, or related field.
- Minimum three years of experience in executive or administrative support roles.
- Excellent command of Greek and English (written and verbal); strong communication skills.
- Strong organisational, planning, and time‑management abilities.
- Ability to draft high‑quality documents, reports, minutes of meetings, and executive summaries.
- High level of discretion, integrity, and confidentiality.
- Ability to work independently, multitask, and meet tight deadlines.
- Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
Desired Qualifications (will be considered an advantage):
- Postgraduate degree in Business Administration, Management, or related field.
- Experience working in research, academic, EU-funded, or innovation-driven environments.
- Familiarity with procurement, budgeting, or basic financial processes.
- Other language skills.
- Experience with Customer Relationship Management systems or document management systems.

The appointment will be for a period of one year (12 months) with the prospect of renewal for another one year. The annual gross salary for the (full-time) position will be in the range of salary scales Α8-Α10 (€24500 - €47396), depending on qualifications and experience. It is noted that there is provision for 13th salary which is proportionally incorporated in the monthly remuneration.
