Administrative Assistant - Interim Agent (Contract)

Key Responsibilities 

• Managing and organizing calendars, agendas and priorities in line with assigned tasks and priorities by management.
• Sorting incoming mail into categories (e. g. action required, no action required);
• Managing functional mailboxes of the Unit and handling incoming/outgoing communications.
• Handling ENISA’s file management system and proactively follow up on actions on behalf of the unit management.
• Preparing, formatting and quality check documents in line with relevant procedures in place.
• Ensuring data accuracy, creating accurate spreadsheets, review data to find errors and corrections, update existing data and input data into systems or other databases.
• Provide general administrative support including drafting minutes, document registration and filing.
•Take on additional tasks as required in the interest of service.


Qualifications

• Ability to keep information confidential, with utmost integrity and promote a positive working environment.
• Very good organizational and prioritizing skills in a very varied workload with demanding deadlines. 
• Attention to detail, to plan and follow up work and achieve results.
• Ability to closely follow instructions.
• Ability to effectively work in a team.
• Excellent communication skills, inter-personal skills and client-oriented approach. 
• Proficiency in Office software tools (e. g. Outlook, Word, Excel, PowerPoint etc.)  
• Fluency in English, written and oral; knowledge of additional EU languages is an advantage.
